Our Simplification Approach

A consistent methodology applied to every process we work with. We do not adapt our approach to make complexity manageable — we remove it.

Reduce. Rebuild. Document.

Most process improvement work focuses on making complex processes more manageable. Our approach is different: we start from the assumption that complexity itself is the problem, not a condition to be accommodated. We apply three core principles to every engagement. Reduction comes first — before we redesign anything, we remove everything that does not need to be there. Only then do we rebuild the structure around what remains. Finally, we document the result in a format that can be used without interpretation.

Analyse Current State

We document the process as it actually runs — not how it is supposed to run. This often reveals a significant gap between the documented procedure and operational reality.

◎ Map every step as currently executed
◎ Document all inputs, outputs, and handoffs
◎ Record timing and responsibility for each step
◎ Note where the process deviates from any existing documentation

Identify & Categorise Issues

We classify every identified problem by type — redundancy, ambiguity, sequencing failure, or misaligned ownership — so that the right corrective action can be applied to each.

◎ Mark redundant steps for removal
◎ Identify ambiguous decision points
◎ Flag handoffs without clear ownership
◎ Locate sequencing inefficiencies

Reduce Complexity

Before any restructuring begins, we remove. Every step that does not directly contribute to the process outcome is eliminated or consolidated with another step.

◎ Remove steps that exist by habit only
◎ Merge sequential steps into single actions where possible
◎ Eliminate duplicate inputs and approvals
◎ Reduce decision points to the necessary minimum

Rebuild & Deliver

With the unnecessary removed, we rebuild the process in its simplified form — resequenced, clearly structured, with defined ownership and documented in full.

◎ Design the new sequence with logical flow
◎ Assign clear ownership at every stage
◎ Define inputs and outputs for each step
◎ Deliver a complete, usable process model

Simplification in Practice

Expense Approval

A nine-step expense approval process was rebuilt as a four-step workflow. Two redundant approval stages were eliminated, and the routing logic was simplified to a single rule rather than a department-based decision tree.

New Hire Onboarding

A three-week informal onboarding process was restructured into a six-step model with defined completion criteria at each phase. New hire time-to-productivity was reduced by 40 percent.

Client Reporting Cycle

A monthly reporting process involving four review stages and 12 sequential steps was rebuilt as a parallel process with a single review stage and five steps, maintaining the same output quality.

What does a typical engagement look like?

We begin with a structured review of the process in question — either through documentation you provide or a working session with your team. From there, we produce a full analysis, build the simplified model, and deliver it as a documented structure. Most single-process engagements take two to four weeks.

Which types of processes do you work with?

We work with operational, administrative, and internal workflows — any repeatable process that involves multiple steps, people, or decision points. We do not work with manufacturing or production-line processes, as our methodology is designed for service and knowledge-based operations.

How is the final model delivered?

Every model is delivered as a structured document that your team can read, reference, and implement without additional explanation. We provide flow diagrams, step-by-step descriptions, ownership assignments, and decision trees where relevant. We can also deliver an implementation brief if requested.

Can you work with existing process documentation?

Yes, and we prefer it. Existing documentation — even incomplete or outdated — gives us a baseline to work from. The gap between how a process is documented and how it is actually executed is usually where the most significant problems are found.

Do you offer ongoing support after delivery?

We offer ongoing refinement engagements for clients who need their models updated as their operations evolve. This is structured as a separate arrangement from the initial project and is scoped based on the number of processes involved.

What information do you need to start?

The initial analysis request requires only a description of the process you want simplified, an indication of how many people are involved, and any existing documentation you have. From that point, we will define the scope and timeline before any work begins.
